What every invoice should include
A clear invoice gets paid sooner, because the client has no reason to ask you a question first. Whatever tool you use, check it has these.
- 1
Your details
Your name or business name, address and a way to contact you.
- 2
Your client
Who you are billing, with their address or email if you have it.
- 3
An invoice number
A unique number for each invoice, usually in sequence, so both of you can refer to it.
- 4
Dates
The date you issue it and the date payment is due.
- 5
What you are billing for
One line per item, with quantity and price, so the total is easy to check.
- 6
The total
Any tax, discount or shipping shown on its own line, then the amount due.
- 7
How to pay
Bank details or a payment link, and your terms, such as net 14 or net 30.
Requirements differ by country and by type of business, for example for tax numbers and how invoices are numbered. This is general guidance, not legal or tax advice, so check what applies to you.
How it works
- 1. Describe it. For example: “Bill Pine Labs for 12 hours of UX research at $150 an hour, 8.25% tax, due in 14 days.”
- 2. Check it. The invoice builds as you type. Click any number or name to change it, and anything unclear is flagged, not guessed.
- 3. Send it. Download the PDF, or share it by email or WhatsApp with a note already written.
Questions
- Is it really free?
- Yes, it is free to use while Magic Invoice is in early access. The invoices you make are yours, with no watermark on the PDF.
- Do I need an account?
- No. There is nothing to sign up for. Your invoices are stored in your browser on your own device, and you can download a backup or a spreadsheet at any time.
- How do I add my logo and payment details?
- Add them once under Your business. They appear on every invoice: your logo, your address, and how a client can pay you, such as bank details or a payment link.
- Can it add tax and discounts?
- Yes. Say it in plain language, for example "10% off, add 8.25% tax", and it is worked out for you. You set the rate yourself, so check the rules that apply where you work.
- Can I get a PDF?
- Yes. Download it, share it from your phone, or attach it to an email. Sending from your own email or WhatsApp means it comes from you.
